Real-time sharing of information reduces the number of communications both inside and outside the company, with a consequent drastic reduction in all related costs (telephone, fax, working hours), procurement times and monitoring.

IT Workflow Management

Unitec has sophisticated software, developed by its own team of programmers, capable of managing the entire Supply Chain Management.
Each operation is managed by the IT system: from registering customers and suppliers, to managing requests, from receiving offers to issuing orders, invoices and reports.

The graphic appearance and functionalities have been taken care of down to the smallest detail in order to allow quick and above all intuitive consultation. This is a fundamental factor because it depends on the speed of execution, control and above all the reduction in the incidence of human error.

This instrument allows efficient, safe and extraordinarily fast management of all tasks. In 90% of cases, the request-offer-issuance of orders is done within a few hours during the same day.

Everything is in continuous evolution, in order to support new market requirements and customer requests.

Internet-Based Solutions

The understanding and development of Internet-based technologies is one of the main objectives of Unitec's research activity. It is precisely thanks to the technical knowledge acquired in this area that Unitec Services & Web S.r.l. was born, a company created to develop new managerial instruments based on Internet technologies and integrate them into the range of hi-tech services that Unitec offers to its own clients with a view to optimizing costs.

Unitec, in collaboration with Unitec Services & Web (https://usw.unitec.it), has developed a series of Internet-based solutions dedicated to purchasing offices and agencies, for industrial procurement via Internet and warehouse management.

The objective is to face and resolve a huge range of problems of purchasing agencies in order to achieve optimization of procedures through the following steps:

  • Reduction of management costs (fax, telephone, working hours and communications);
  • Consolidation and reduction of paper documentation;
  • Improved recording and availability of documents and information;
  • Conversion of communication mode from synchronous (telephone) to asynchronous (email);
  • Improvement and drastic reduction of monitoring;
  • Independence of workplaces from their physical location;
  • Homogeneity and shareability of information;

Various following applications have been developed for the activities: Purchasing, Supply, Warehouse, Monitoring and Reporting.

The application dedicated to Purchasing Offices now makes it possible to query in real time a database containing 31,258 items from 2,224 different suppliers (constantly updated), with relative multilingual description, and to issue procurement requests in real time from any location in the world, at any time and in any language.
If the item or supplier is not present in the database, it is however possible to send the request using a dedicated procedure.

The ability to send requests via the Internet makes it possible to drastically replace traditional managerial media such as paper, fax and telephone, reducing supply costs.
Additional savings are achieved by consolidating requests, i.e. having the ability to order multiple items with a single procedure rather than multiple procurements.
This helps achieve cost optimization through the drastic reduction in the production of paper documents such as faxes and other communications.

The workplace is available everywhere and in a personalized way and therefore independent of the physical location where it is located.
Even in the event of unavailability of a specific workplace, the continuity and usability of the service are not compromised and, above all, the integrity of the data. These arguments are one of the fundamental presuppositions for the introduction of teleworking.

It is possible to issue supply and/or supply requests via the Internet in an absolutely innovative, simple and intuitive way. It’s like using a spending basket!
A few moments are enough to try and find the interesting manufacturer and select the related items to order.
The chosen items will therefore be placed in a list which can be viewed, modified in quantities, or deleted at any time.

It is not necessary to issue the request immediately. Indeed, if the request is not sent, the list will not be deleted and will remain remotely available for other work sessions... even days later or from other workplaces.

As for supplies, demand works as for purchases, but on the basis of data provided by the customer. Delegated agencies like maintenance or warehouse can send replenishment requests for frequently ordered items.
The purchasing office therefore receives, if necessary, a communication of the requests sent by the agencies directly to the supplier.

All customers can, depending on their own needs and degree of qualification, update themselves in real time and monitor current procedures, that is to say:

  • Requests issued;
  • Status of preparation of requests;
  • Directory of offers;
  • Delivery times;
  • Orders issued;
  • Expeditions;
  • Newsletters;
  • Billing;

Great attention and care has been given to reporting. Through this application, all customers depending on their degree of qualification can receive daily, weekly or monthly reports of current procedures. Reporting can be static or dynamic and therefore updated in real time. All these operations are always accessible at any time from any location regardless of the workplace and therefore also during meetings, conferences and travel.

The type of reporting is customizable according to information needs and can be in graphical or tabular format. Depending on the data available, it is possible to develop statistics of an operational, functional and organizational nature.

Virtual Warehouse

Another revolutionary innovation consists of the introduction of the VIRTUAL WAREHOUSE: this concept consists of the possibility for various factories of an industrial group, or part of various industrial groups, to share a single virtual warehouse based on real stocks.

These stocks are physically subdivided between several participants in the plan, but logistically shareable by all.

In this way, we have the knowledge of having a greater emergency supply capacity while at the same time allowing the reduction of individual stocks to the historical minimum point.
